Summary of Key Responsibilities and Role

The Accounts Administrator is responsible for managing day-to-day financial processing and administrative tasks, including handling Direct Debit mandates, raising sales invoices, and processing payments and receipts for both business and client accounts. The role involves maintaining accurate records in Sage, Tracker, and Docuware, reconciling transactions, releasing supplier payments, and preparing banking documentation. The Accounts Administrator also monitors internal communication channels such as ActiveChat and software messages, ensures timely query resolution, and supports the smooth running of the accounts function while upholding the organisation’s values.

 

Principal Responsibilities

  • Process and save Direct Debit mandates and other relevant documents in Docuware.
  • Raise sales invoices from Tracker.
  • Post incoming cheques for both the Business Account and Client Monies Account, completing the daily banking spreadsheet for deposit.
  • Process Client Monies receipts and enter both payments and receipts into Sage.
  • Process incoming credit card receipts.
  • Raise OPG cheques as required.
  • Release supplier payments from Sage and send remittance advices.
  • Open Executor Accounts as needed.
  • Monitor ActiveChat and software messages to ensure timely action.
  • Undertake other ad hoc duties as required.
  • Demonstrate ongoing support for the business’s development and core values.

 

 

Key Knowledge & Required Skills

  • Familiarity with basic accounting principles.
  • IT literate, with strong working knowledge of MS Office (Word, Excel, Outlook).
  • Ability to work efficiently and accurately while multitasking, maintaining a positive and motivated attitude.
  • Excellent administrative skills with high attention to detail.
  • Strong organisational skills, with the ability to prioritise and support the management of others’ workloads.
  • Fluent in English, both oral and written.
